“I’m so sorry, I don’t even know what I should be doing here. I’ve recently taken over from your previous manager but I can’t find any notes about this issue in your file. The contractors are also not very clear or helpful. I know it’s frustrating, and I promise I will do everything I can to actually resolve matter. Please tell me what has happened, what’s been done and how you would want it resolved. Then we can discuss and agree next steps from there. How does that sounds?”
